Who we are

The London Tamil Sangam (registered charity 1097724, company 00657373) is responsible for the personal information described here. Our address, phone number and email are on our Contact page.

What we collect

When you register a child or yourself for the Tamil school: names, dates of birth, contact details, address, medical notes and allergies, emergency contacts, consents, attendance, certificates and fee payments.

When you join as a volunteer, teacher or committee member: your name, contact details and role.

When you send us a message from this website: your name, email address, phone number (if given) and your message.

When you sign in: a record of sign-ins and of the actions you take, kept for security.

When you read our public pages: only a count. The site adds one to that day’s total for the page, and notes the kind of site that sent you there (such as Google or Facebook). It keeps nothing about you, your device or your address, so no one can tell who visited. If your browser asks sites not to track you (Global Privacy Control or Do Not Track), it isn’t counted at all.

Why we use it

To run the school and our activities: placing students in classes, keeping them safe, contacting families, issuing certificates, managing fees and supplying books. Our lawful bases are the agreement you make with us when you register, our legitimate interests in running the charity, and our legal duties (for example safeguarding and Gift Aid records).

Medical information is used only to keep students safe and is seen only by the staff who need it. Photos and videos are used publicly only where consent has been given, and that consent can be withdrawn at any time.

Who can see it

Only the LTS staff and volunteers who need it — usually your branch’s team. We do not sell your information or share it outside LTS, except where the law requires it.

Our systems are hosted on Microsoft Azure, in UK and European data centres, and our emails are sent through Microsoft’s email service. These providers process data only on our instructions.

How long we keep it

Only as long as we need it: while a student is with us, then for as long as we must for legal, financial and safeguarding reasons. Requests for printed books sent from this website are kept on our system while we answer them, and your name, contact details and messages are deleted 12 months after the request is closed. Other website messages are kept only in our team’s email while we deal with them and for a reasonable time afterwards.

Your rights

You can ask to see the information we hold about you or your child, to correct it, to delete it, or to object to or restrict how we use it. Where we rely on your consent, you can withdraw it at any time. Just contact us.

If you are unhappy with how we have handled your information, please tell us first. You can also complain to the Information Commissioner’s Office (ico.org.uk, 0303 123 1113).

If you’re a young person

We only ask for what we need to teach you Tamil and keep you safe.

Only your teachers and your branch’s team can see your details. We never sell them or give them to other companies, and there are no ads or tracking on this site.

If you’re under 18, your parent or guardian signs your consent form and can get copies of messages between you and the school.

We only show your photo on our website if you and your parent or guardian say yes. Even then, we show only your first name and the first letter of your surname.

You can ask to see what we know about you, fix anything that’s wrong, or ask us to delete it. Ask your teacher or a parent to help, or contact us yourself.

Cookies

We use only the cookies and browser storage this site needs to work: to keep you signed in, protect forms from misuse, and remember choices you make. We use no advertising, tracking or analytics cookies, and our visit counts store nothing in your browser, so we don’t ask for cookie consent.

The map on our Contact page comes from Google Maps, which sets its own cookies. It loads only if you choose to show it.
